What we do with your information, why we hold it, and the rights you have over it.

This policy explains what we do with personal information when you contact Leeds IT Services Ltd or when we carry out work for you. We are the data controller for that information.
What we collect
- When you use the contact form: your name, email address, telephone number if you give one, the subject you select, and the message you write.
- When you call, email or message us: whatever you choose to tell us, plus your contact details.
- When we carry out work: details of the systems and faults involved, and notes on what was done.
Why we hold it
To answer your enquiry, to provide the service you asked for, to keep a record of work carried out, and to meet our legal and accounting obligations. Our lawful bases are performance of a contract, legitimate interests in responding to enquiries, and legal obligation for records we must keep.
Who sees it
Only the people at Leeds IT Services who need it to do the work. Contact form messages are delivered by email through Resend, our email delivery provider. Our website is hosted on Cloudflare. Cloudflare and Resend process this information on our behalf under their applicable service and data-protection terms. We do not sell personal information and we do not share it for marketing.
Access to your systems
During remote support we access only what is needed to diagnose and fix the problem. You approve each session, you can see what is happening on screen, and access ends when the session does. We do not copy personal files and we do not retain access afterwards.
How long we keep it
Enquiries that do not become work are deleted within twelve months. Records relating to work carried out are kept for six years, which is the period required for accounting and legal purposes.
Your rights
Under UK GDPR you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, object to processing, or ask us to restrict it. Email info@leeds-it.co.uk and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Website analytics
If you consent, we use Google Analytics 4 to understand which pages visitors find useful. It records information such as pages viewed, approximate location at city level, device type and how the visitor reached the website. Advertising storage, ad personalisation and ad user data are disabled.
We also use Microsoft Clarity, with your consent, to understand page interactions through heatmaps and masked session replays. Anything entered into the contact form is masked and is not included in Clarity recordings. Google processes Google Analytics data on our behalf, and Microsoft processes Clarity data on our behalf. You can withdraw analytics consent at any time through the Cookie settings link in the footer.
